1. Who we are

Scoutly ("we," "us," "our") is a global recruiting and talent-sourcing company. This policy explains what personal information we collect when you visit our website, submit a hiring request, or apply for a role, how we use it, who we share it with, and the choices you have. 2. Information we collect

Information you give us. If you are a client: your name, email address, phone number, company name and website, revenue range, and details of the role you want to fill. If you are a candidate: your name, email address, WhatsApp or phone number, country of residence, roles of interest, expected hourly rate, languages, employment preference, résumé, voice recording, portfolio links and how you heard about us.

Information collected automatically. IP address, browser and device type, pages viewed, referring URL, and interactions with our site, collected through cookies and similar technologies.

Information from third parties. Publicly available professional profiles, referrals, and information from our recruitment, scheduling and analytics providers.

3. How we use your information

  • To match candidates to open roles and present shortlists to clients.
  • To evaluate applications, including reviewing résumés and voice recordings.
  • To respond to enquiries, schedule calls, and provide the Services.
  • To send service messages, and with your consent marketing emails and text messages.
  • To invoice clients, prevent fraud, and meet legal and record-keeping obligations.
  • To measure and improve our website, recruiting process and advertising.

4. Legal bases for processing

Where the GDPR or similar laws apply, we process personal information on the basis of your consent (for example, marketing messages and sharing your profile with clients), the performance of a contract, our legitimate interests in operating and improving a recruiting business, and compliance with legal obligations. You may withdraw consent at any time.

5. How we share your information

We share personal information with:

  • Prospective clients candidate profiles, résumés and voice recordings, shared to evaluate you for a role.
  • Service providers applicant-tracking, hosting, email, scheduling, analytics, payment and contractor-management partners who process data on our behalf under contract.
  • Legal and safety where required by law, court order, or to protect our rights, users or the public.
  • Business transfers in connection with a merger, acquisition or sale of assets, subject to this policy.

We do not sell your personal information, and we do not share it for cross-context behavioural advertising as those terms are defined under US state privacy laws.

6. Cookies and tracking

We use strictly necessary cookies to run the site, and analytics and advertising cookies to understand how the site is used and to measure campaigns. You can control cookies through your browser settings and, where offered, through our cookie banner. Blocking some cookies may affect how the site works.

7. SMS and email messaging

If you opt in on one of our forms, we may contact you by phone, text message and email about your enquiry or application. Message frequency varies and standard message and data rates may apply. Reply STOP to any text message to opt out, or use the unsubscribe link in any marketing email. Opting out of marketing does not stop essential service messages about an active application or engagement. We do not share mobile numbers with third parties for their own marketing.

8. International transfers

We recruit globally, so personal information may be transferred to and processed in countries other than your own, including the United States. Where required, we use appropriate safeguards such as standard contractual clauses to protect information transferred across borders.

9. How long we keep your information

We keep candidate profiles in our talent pool for as long as they are useful for matching, and no longer than [24] months after your last interaction with us unless you ask us to remove them sooner or a longer period is required by law. Client records are kept for the duration of the relationship plus the period required for tax, accounting and legal purposes.

10. Security

We use administrative, technical and physical safeguards designed to protect personal information, including access controls, encryption in transit and vendor due diligence. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

11. Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, restrict or object to processing, receive a portable copy, and withdraw consent. To exercise any of these, email privacy@scoutly.com.

We will verify your request and respond within the period required by applicable law. You will not be discriminated against for exercising your rights.

12. US state privacy rights

Residents of California and other states with comprehensive privacy laws may request disclosure of the categories and specific pieces of personal information we have collected, the purposes for collecting it, and the categories of third parties with whom it is shared, and may request its deletion or correction. You may designate an authorised agent to make a request on your behalf. We do not sell personal information or process it for targeted advertising.

13. Children's privacy

Our Services are intended for people aged 18 and over. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

14. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top reflects the current version, and we will notify you of material changes by email or a notice on the website.
